Remote Working Part 3 – Essential tools
Self discipline more….
Before I share with you my collection of the top Internet tools that are sure to assist you to operate remotely, I must alert you to one more item connected with self management and specifically to do with maintaining your focus and levels of concentration
I’ve uncovered and confirmed a common trait in members of both sexes who work on the net and I’ve known for a substantial period and I call this behavior the fifty min rule. I observed these colleagues who apply themselves and work for 50 mins. and then kick back for a whole 10 mins. rest and are considerably more effective and produce a considerably higher quality of work than acquaintances who don’t have structured working methods.
OK as promised here is my list of favourite remote working tools:
Google Mail won’t cost you a penny. My friends and I all agree the search & label (a bit like folders) functions have no equal. The downside is it can be a bit slow on older machines
Phone calls
Skype occasionally drove me to despair as the service stability was unacceptable, but three cheers for the developers at Skype now as they have considerably refined the quality of the service. For few dollars a month ! can call and conference in any telephone and Skype user in the world. The latest edition of Skype has a ton of excellent features and there constantly expanding collection of practical add on applications.
Organising Content
Evernote has reached more than a million users in no time at all – it enables you to store, organise and add notes to any species of digital content in the Cloud. Just go check it out…it’s free.
Invoicing, Time and Expenses capture, Accounting and CRM
You definitely know that my urge to work remotely was originally sparked off by Quickbooks Online, a small business accounting software system. But it is no match for the free edition of salesorder.com – a lead to cash system that’s as easy to use as a kettle I looked at NetSuite whose pricing (and people) scared me off. My choice here is salesorder.com – Go check it out.
Remote Working Part 2 – Best practises
The number one reason people fail to adjust to working remotely is they don’t recognise the need for first class organisation and enduring self discipline.
I have been working remotely for over seven years since I first unearthed Quickbooks online an ‘on demand’ small business accounting software online system and was motivated by the fact that if you can do accounting on the net then why shouldn’t you be able to do other key types of of work remotely?
Whilst working remotely has many benefits there are numerous traps that people easily fall into which convert into problems that cause reduced productivity and reduced morale. The top reason for decreases in productivity in remote workers is distraction and it is a proven and well publicised fact that it can take a person up to 20 mins to return to their original output level after experiencing a disturbance.
Studies also show that members of both sexes who are consistently subjected to distractions are more likely to suffer from lower memory ability and are prone to developing mental health issues in old age. We live in an over communicated world and it is essential that you know the issues this causes before you commence working remotely. When working remotely you have to do everything feasible to mitigate the jeopardy of being disturbed.
Here are things that really do work:
1, Get a habit, communicate it to absolutely everyone and stick to it!
Good examples are a regular time of day when you look at or write and send mail and make or will accept phone calls. Before I began working remotely I used to receive nearly a couple of hundred e-mails over a period of twenty four hours. Now I think I am unfortunate if I receive over 4. To ‘restart’ my electronic mail experience I changed my e-mail address and tenaciously took steps to guard the details being made available to anyone. I then educated every person who I gave my e-mail address to, to use it with special care. I also configured an automatic response that swiftly told anyone sending me mail my schedule for reading mail and if an e-mail must have my urgent attention to mark it as ‘Urgent’.
2. Get rid of alerts.
Turn off absolutely everything that can send you a visual or audible alert. This includes cell and
ordinary telephones and forms of alerts from e-mail such as visual alerts, beeps, screen changes to your inbox folder and of course facing a window. Get a door on your office and put up a ‘do not disturb’ sign on it.
In ‘Remote Working Part 3 – Best online software’ I will reveal my favourite tools and software.
Remote Working Part 1 – Summary
Obviously not everybody can work remotely as some vocations require employees to consistently attend their employers premises or travel to perform their tasks in person. But for those of us are allowed to work remotely then I thought it would be useful to share my experiences and give some practical advice by distributing it on the web with the sole objective of providing valuable timesavers for adapting to remote working or managing remote workers.
I can tell you that there are many people on the web who will try and get you to buy information for big sums of money, trust me you don’t need to do this.
I am fortunate to be able to work anywhere I choose and just about everybody who asks me what I do for a living wants to get details of how I manage to work remotely. Don’t get me wrong here I am still learning about the science of remote working as everyday I encounter individuals on the net who show me new ways and I am continually unearthing new packages and methods that make my life easier and increase my productivity.
During the past seven years I have substantially adapted my working methods to allow me to do the whole of my work remotely with a mixture of internet tools and rigid self discipline. One lunchtime whilst searching the web I came across Quickbooks online and this made me think about what just might be possible. The encounter with online ‘on demand’ small business accounting software was a pivotal moment for me and the beginning of my ‘remote working life.
I have to mention up front that successfully working remotely is as much about the systems as it is about self discipline. Working remotely also means informing your co-workers, managers and customers as to what they can expect and how they will keep in touch with you.
In ‘Remote Working Part 2 – Tips on self management’ I write about how to focus.
Landline Handsets
Even in the age of the internet and the cellphone, a cordless phonephone and answerphone can still be extraordinarily useful. An office provided with a cordless phone and ansaphone has the edge that you can take the telephone with you, but it mostly remains near handy since it cannot be used without the remainder of the contraption. Aditionally, it can take messages which is far more convenient than voicemail when you’re found in a central office the majority of the time and can tend to your messages by pushing a button. And if you lose the phone mouthpiece, you can press the pager button on the cordless phone and answering machine and the phone will keep beeping until you can find it, which is a great advantage.
You can get a cordless telephone and answering machine in different sizes and configurations appropriate for small, medium, or maybe for massive offices. The cordless phone and ansaphone should have the power to accommodate multiple lines at the same time, have call holding, call forwarding, and other such features. That way, all of the needed features of your phoneline can be managed from that one cordless phone and ansaphone unit, rather than needing some other device.
Personally, though, I’m not that large a fan of a cordless phone and answerphone for the simple reason that I’m always loosing something. It’s enough difficulty for me to keep control of my mobile phone, and the only way I manage to do that at all is to always keep it with my messenger bag, meaning that I must always keep that messenger bag with me. But when you employ a cordless phone and answerphone, you’ve got the tendency ( at least I do ) to use it so you can wander around and tend to other work while you are talking on the telephone. This means that you can leave your cordless telephone anywhere in another office, in the copy room, on a colleagues desk. The possibility to foil this system are manifold. For me, the old standby, the telephone with the rope attached to the clunky machine that hasn’t changed much for over 20 years, is still the best solution. It works well, and it implies that you cannot go far with the telephone and that irrespective of where you wonder, it remains firmly attached to where it is meant to be.
Sadly, or some would say thankfully, you cannot download the latest pop music or TV theme tune as your very own ringtone, that has to be left to users of the ever-present mobile phone. You can read about mobile phone ringtones on the Best Ringtone web site.

Sony Cell Phone
The Sony cell phone represents the major Sony Ericsson product since, for quite some time now, the two companies associated to combine one’s expertise in consumer electronics and the other’s technological leadership in communications. The founders of Sony Corporation were Masaru Ibuka and Akio Morita, however, they are not the parents of the Sony cell phone. The headquarters of the company are at Minato, Tokyo, Japan. As a corporation, Sony services a huge electronics market that includes not only phones but video stations, TV sets, computers, semiconductors, play stations and other consumer electronics as well. In 2008 the company’s total income was US$ 4 billion and their revenue was US$ 100 billion. Plus, the number of employees working in Sony facilities worldwide was around 180,000.
Historically speaking, Sony maintains a high quality standard in the storage and recording items they provide, as they did not adopt those discoveries issued by other manufacturers and standard bodies. The standard products designed and manufactured over the years include Umatic (~1968), Betamax (1975), Betacam (81), Compact Disc (82), 3.5 inch Floppy Disk (82), Video8 (85), DAT (87), Hi8 (88), Minidisc (~90), Digital Betacam (~90), miniDV (92), Memory Stick (98), Digital8 (99), PSP Universal Media Disc (~2003), HDV (~2004), Blu-ray Disc (2006). So, Sony is mainly known for these consumer electronics rather than for cell phones which they started developing in cooperation with Ericsson only. Therefore, the correct name for a Sony cell phone is Sony Ericsson mobile.
The Walkman and Cyber-shot series produced by Sony in collaboration with Ericsson brought fame and money for the two business involved in the design, winning Sony Ericsson a place among the five most famous communication companies in the world. The most famous Walkman mobiles were by far K750i and W800i, each with a great music playback range and two low-end phones included; both mobiles were launched in March 2005. No later than October in the same year, another Sony cell phone – the P990 – was released, being the first cellular using UIQ 3.
Another successful Sony cell phone worth mentioning comes from the Cyber-shot brand. This one – the K750, had the release in 2005 and made record sales. Unlike the Walkman which had a very good media package but a poor camera, the Cyber-shot phone included both great cameras and decent viewing media.

New Sony Ericsson Phone
Sony Ericsson mobiles are in the top five of the best sold phones worldwide. Not only does Sony Ericsson create good reliable devices, but it also stays up to date with the demands of an ever changing world, and the new Sony Ericsson models fully reflect this tendency. For business people and those who work in the entertainment world, new Sony Ericsson phones are the best option if they manage to afford them.
One new Sony Ericsson phone that has received some great reviews is Xperia X1. It looks extremely smart, not only because of its design but also because of the silver color it comes in. The panel display can be set to suit your interests and meet your needs. This new Sony Ericsson item allows you to quickly and very easily access all the information and applications inside. It is equipped with the new Windows Mobile system and as a result you can enjoy all the entertainment that you are used to on your computer or laptop. It is not only truly entertaining but also speedy in the way it opens applications and uses its Windows Mobile system. The truth is that only top notch phones have the Windows platform installed in the interface, which once again proves the Sony Ericsson superiority.
In terms of size, these phones that incorporate a lot of systems and applications are a little bigger than the regular ones created to suit lower budgets. The new Sony Ericsson Xperia X1 is about 17 mm thick, 52 mm wide and 110 mm long. Moreover, an intelligent device like this will normally weigh around 158 grams. The phone comes with a touch screen that relies on 65,536 colors, and the 400 MB internal memory can receive a support of up to 16 GB through MicroSD™. As a result the amount of data that can be stored in the phone is huge.
The new Sony Ericsson phones will keep developing and turning the communications world via phones into one that will replace that of computers. Yet, computers are still needed especially in offices and business or other domains of activity, but as far as the personal domain is concerned, these devices have managed to take over. It is very often the case that, the users that have already tried the new Sony Ericsson models should remain enthusiastic even after purchasing the products.

Common Mistakes to Avoid – Small Business Telephone Systems
VoIP systems or more formally Voice over Internet Protocol phone systems are one of the most popular options when it comes to choosing a small business phone systems. Even the smallest one person company can take advantage of VoIP services through inexpensive services such as Vonage or near free services from Skype. Based on your business needs and call volume these services may be just what you need and cover the most basic (or not so basic) services your company sets out to find.
Many companies are throwing their hats into the VoIP ring, even popular operating system turn software turned MP3 player and video game system producer Microsoft has an entry with their Response Point product line. Response Point allows Microsoft to do what they do well, software. The software is set up so the average person can run it from a desktop, so there is no need to hire and pay for an expensive IT staff person to manage it. It is geared directly at the smallest of small businesses, those with 1-50 employees. It allows you to easily add phones and lines, change functionality and move phones around with ease.
Another advantage is in the flexibility it allows for. These systems can provide for more than one phone call to be carried over a single broadband connection, so extensions can be added easily. And if your business is a call center, the technology allows for an employee to work from a remote location since all that is required is a reliable Internet connection.
Not considering the service side: Yes you are purchasing a phone system, but services need to reside on it. You need to understand the expenses, features and functionality around your new telephone system. Service Level Agreements (SLA) can be a gotcha in the process, knowing what type of expectations, clauses and opt-out you have are important. Also, bundling is a common way to get more services for less, but be careful because bundling may also increase the price.
VoIP isn’t your only option when deciding on a new phone system; however it is a solution that you should strongly consider. Microsoft boast saving of up to 51% on services; however other VoIP systems can offer equally the same savings.
So consider the cost of hardware, long term service commitments and the ability for the telephone system to grow with your organization. There are great options out there such as a hosted PBX, voice attendant and many others for your consideration. Not all are going to be valid for your small business, so weigh cost versus value in your small business.

Landline Versus Cell Phones: Which Is Better?
As more and more people buy cell phones, some question whether a landline connection is even necessary. After all, they seem to duplicate the function of cellular telephones. So, why pay for both? The fact is, there are a few important reasons you should maintain your residential landline home phone. We will explore the telecommunications questions of which options are better, the Landline Telephone or Cellular Phones. We’ll explore the issue from the perspective of making emergency calls, monthly costs, and environmental impacts. You may find that maintaining both options is not only convenient, but necessary.
Making 911 Emergency Calls
Many cellular service providers offer an emergency calling option. Known as Enhanced 911 (or simply, E911), the service connects your call to a Public Safety Answering Point (PSAP). The PSAP then routes your call to the appropriate party. On the surface, this sounds efficient enough. But, in order for the cellular provider to transfer your E911 call to the appropriate PSAP, it must have specific information on file. If you don’t provide that information, the call may not be connected properly.
With a landline telephone, your 911 call is connected and the operator can trace your location. Even if you do not speak into the receiver, your home’s physical address can be routed to law enforcement, ambulance services, or a local fire station.
Creeping Cellular Expenses
Your monthly bill is another thing to consider. When most people sign up for a cellular plan, they do so believing they will seldom, if ever, exceed their monthly allowable minutes. Actually millions of people already do this every month. Given the high cost (often, per-minute cellular charges can exceed $.40) and the fact the most people are unaware regarding the duration of their calls, the costs can skyrocket. People with teenagers or young adults can witness to the fact of enormous and surprising monthly cell phone bills.
A hardline residential phone plan often comes with unlimited local and long-distance calling privileges. Aside from international calls, you’ll know upfront how much your monthly bill will be.
When The Environment Counts
Corded hardline phones are more friendly to the environment. Granted, many people may feel this is an insignificant factor. But, consider that every cell phone manufactured uses a toxic battery. Millions of batteries are thrown away every year. They add up. For those who consider environmental friendliness a priority, a landline telephone (corded) is far easier to justify.
If you’re thinking about retiring your home landine telephone service, consider the factors above. To be sure, cell phones are more portable and therefore, more convenient. But, making 911 calls with them is less reliable than making them with a landline. Plus, the monthly costs and impact to the environment are greater than many people realize. While cellular technology has made telecommunications vastly more convenient, keeping a landline connection in your home still has enormous value.

Iridium Satellite Phones – What makes their 9555 Satellite phone the best in the World
By John [http://www.satellitephonesales.com.au]
Iridium satellite phones are made by the Iridium corporation in conjunction with the more commonly know for their cellular phone Motorola Corporation. Iridium are the only satellite company who can offer a truly global service. Anywhere, Anytime.
Their definition of global includes oceans, airways, and the north and south Pole. There newest offering, the Iridium 9555 handset is capable of delivering and receiving telephone and data communications from even the most remote and desolate regions in the world, where absolutely no other form of mobile, cellular or landline communication are available. This has made them the standout winner in their field, and the number one choice for many companies involved in mining and exploratory rolls.
Iridium satellite phones rely on the constant reliability through what is called “The Iridium constellation.” This consists of a 66 low orbiting satellites that link, and cross-link, that guarantee coverage to every part of the Earth no matter what time of day or night. This is the largest non government satellite system in the world, and this makes these satellite phones ideal for various industries such as maritime, aviation, oil exploration, geology surveying, military, emergency, mining, forestry, heavy equipment, transportation, and rescue. This system is so dependable that it is used by the United States Department of Defense. This is because they have proven their reliability in even the worst and most barren of conditions.
Iridium satellite phones allow worldwide voice and data communications using a handheld handset similar in size to a normal mobile phone. To demonstrate the diversity of a satellite phone recently a call was placed from the top of Mount Everest by a climber who then called home to confirm his having made it to the top. To the other extreme is the seriousness of being lost or injured in any desert or in the constant endlessness of the Australian outback. The coverage literally includes the entire world, though there are some areas where the system is not allowed to be used, usually in nations that the United States has an embargo on (such as North Korea and Sudan). With no clouds around many of the satellites in the night sky give short bright flashes belong to the Iridium System.
A little know fact is the first call made on an Iridium satellite phone was made by then Vice President Al Gore. While this system is used by many corporations, the sheer cost of the satellites makes the Department of Defense contract almost mandatory to ensure the continued success of the system. At least this was true, initially. The idea of complete communication has been jumped upon by many companies, and so the number of users has increased dramatically over the past few years, making the company a very profitable and viable enterprise.
Amazing advancements in technology with smaller and more powerful handsets have made possible what even in most of our lifetimes was once thought of as science fiction. Now a company can make a call from any place at any time, with no towers or other systems in sight. This has also made the jobs of individuals who have to work in isolated areas much safer, as emergency calls can be made, as well as updates given to employers by those on the field. Once a science fiction hope, now Iridium satellite phones make communications possible literally anywhere in the world.
